Responsibilities:

  • Provide counseling services

Qualifications:

  • Must have a professional designation and be in good standing with a professional association (Register Psychologist, Registered Counsellor, Registered Social Worker, Provisional Registered Psychologist)

  • Independently carry current liability insurance

  • Ability to contribute positively to the Bridge Counseling Team

  • Ability to establish and maintain effective working relationships with vulnerable clients and diverse populations

  • Ability to guide, direct, or influence people

  • Excellent written and oral communication skills

  • Superb organizational skills

  • The ability to provide assessments is an asset

  • Experience working with children and teens is an asset

  • 3+ years of counseling experience

Administrative Assistant

Career Opportunity

We are looking for an experienced and responsible Administrative Assistant to work Monday - Friday, 9:00 am - 4:30 pm. The successful candidate will support our counselling associates, answer phone calls and emails, invoice clients and insurers, and perform other office duties. The responsibilities of the Administrative Assistant include:

  • greeting clients,

  • providing support to our counsellors,

  • assisting in daily office needs,

  • collecting payment from clients,

  • and dealing with Bridge Counseling's general administrative activities.

What does an Administrative Assistant do at Bridge Counseling?

Administrative Assistant responsibilities include interacting with clients through scheduling and receiving payment, email correspondence, and other administrative duties. The ideal candidate should have excellent oral and written communication skills, and they will have great scheduling and organizational skills. In addition, the ideal candidates will be proficient in MS Office (Word, Excel), creative and detail-oriented, and have experience with online booking software (Janeapp). We'd like to hear from you if you have previous experience as an administrative assistant and familiarity with our business.

A successful Admin Assistant should ensure our office's efficient and smooth day-to-day operation.

Responsibilities:

  • Open/close the office as needed

  • Answer and make phone calls professionally

  • Greet and assist Clients

  • Schedule and manage appointments

  • Provide real-time scheduling support by booking appointments and preventing conflicts, and ensuring there is no overflow

  • Prepare and distribute emails, correspondence memos, letters and forms

  • Maintain polite and professional communication via phone, email, and mail

  • Provide a warm welcome for clients to ensure a smooth and positive experience

  • Receive payment from Clients

  • Prepare and submit billing information to various insurance companies

  • Assist in the preparation of regularly scheduled reports

  • Maintain contact lists

  • Manage Bridge Counseling social media accounts

  • Deal with Bridge Counseling's general administrative activities

Requirements:

  • Administrative diploma or equivalent

  • Previous experience as an administrative assistant

  • Knowledge of office management systems and procedures

  • Previous customer service experience is considered an asset

  • Working knowledge of office equipment, e.g., printers and scanners

  • Proficient in MS Office

  • Familiarity with Janeapp (an online booking system) is an asset

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multitask

  • Desire to be proactive and create a positive experience for others
